The James W. Burns Executive Education Centre (the "Centre"), a unit within the University of Manitoba (the “University”), is committed to preserving your right to privacy. We ensure that the confidentiality of your information is maintained and the collection, use, and disclosure of your information is in compliance with the applicable Manitoba privacy laws, The Freedom of Information and Protection of Privacy Act (“FIPPA”) and The Personal Health Information Act (“PHIA”).

Notices Regarding Collection, Use, and Disclosure of Personal Information by the University

Program Registrations

The Freedom of Information and Protection of Privacy Act (FIPPA) notification statement regarding the collection, use, disclosure and storage of your personal information that is collected upon registration for a Program with the Centre.

Your personal information is being collected under the authority of The University of Manitoba Act. The information you provide will be used by the University for the purpose of processing your registration for the program, to determine catering orders (if applicable) and seating arrangements, to create name tags/card (if applicable), to provide you with access to the online resources (if applicable), to create an online participant profile (if applicable), to provide an accessible venue, and for communication. Your personal information may be disclosed to your employer (if applicable) for the purposes of verifying your completion of the program, (an) external vendor(s) for the purposes of providing catering and meeting dietary preferences (if applicable), and publishers for the purposes of providing you access to their online resources (if applicable). Your name, email address, organization, and job title may be shared with instructors, facilitators, and/or third-party delivery partners to facilitate training delivery and communication. Your personal information will not be used or disclosed for other purposes, unless permitted by The Freedom of Information and Protection of Privacy Act (FIPPA).

Space Rentals

The personal information of you and all attendees is being collected under the authority of The University of Manitoba Act. The information you provide will be used by the University for the purpose of preparing the Centre for your Event, including catering and materials preparation, providing an accessible venue, for further communication regarding the Event, and processing your payment (if applicable). Your personal information may be disclosed to catering partners for the purposes of accommodating dietary preferences and restrictions and our third-party payment processors. Your personal information will not be used or disclosed for other purposes, unless permitted by The Freedom of Information and Protection of Privacy Act (FIPPA).

External Facilitators

The Freedom of Information and Protection of Privacy Act (FIPPA) notification statement regarding the collection, use, disclosure and storage of your personal information that is collected upon entering into an Agreement with the Centre to provide Services (as determined by the Centre and communicated in an Agreement or Purchase Order with the Facilitator, typically including, but not limited to, facilitation and/or program development).

Your information is being collected under the authority of The University of Manitoba Act. The information you provide will be used by the University for the purpose of reviewing, verifying, and processing your invoices and travel expense reimbursements; confirming that expenses meet the Centre's policies; communicating with you about your invoice; and maintaining financial records for audit purposes. Your personal information may be disclosed to third-party service providers, including articial intelligence (AI), to assist the centre in reviewing your submissions for compliance with Centre and University policies and processing your payments. Your personal information will not be used or disclosed for other purposes, unless permitted by The Freedom of Information and Protection of Privacy Act (FIPPA).

Notice Regarding the Storage of Personal Information Outside of Canada

The University and the Centre engage with software service providers to process registrations, process payments, create, send, and submit invoices, send email communications, gather program feedback, deliver programming, create and deliver program materials.

The University has taken steps to ensure that its agreements with these service providers for their online services provided are in compliance with The Freedom of Information and Protection of Privacy Act (FIPPA). Please be aware that your personal information may be stored on servers outside of Canada. The University of Manitoba cannot and does not guarantee protection against the possible disclosure of your data including, without limitation, against possible disclosures of data in accordance with the laws of a foreign jurisdiction.

Use of Artificial Intelligence (AI) Tools and Personal Information

The University is committed to preserving your right to privacy. We ensure that the confidentiality of your information is maintained and the collection, use and disclosure of your information is in compliance with the applicable Manitoba privacy law, The Freedom of Information and Protection of Privacy Act (FIPPA).

Purpose for use

Your personal information may be used by the University, with the assistance of AI services, for the purpose of delivering programs, such as forming working groups and scheduling breakout sessions; preparing reports and maintaining records, such as summarizing enrolment, program evaluations and notes; reviewing invoices, receipts and financial transactions for policy compliance and reconciliation; creating transcripts and summaries of meetings and calls; and assisting staff in responding to inquiries. Only the minimum amount of personal information needed for each purpose is used with AI services.

AI services are used to augment the work of Centre staff, not replace it. Decisions about you are made by Centre staff.

Disclosure

Your personal information may be disclosed to third-party Generative Artifical Intelligence (GenAI) technologies for the purpose of providing these services. These providers may use your personal information only to provide services to the University and may not use it to train their AI models. Your personal information is not distributed to any private organizations for their own use or used for commercial marketing. Your personal information will not be used or disclosed for other purposes, unless permitted by The Freedom of Information and Protection of Privacy Act (FIPPA).
